Term and Conditions

 

The provided booking terms and conditions constitute the foundation of your agreement with Go The Himalaya Pvt. Ltd. It is imperative that you carefully review them, as they delineate the respective rights and responsibilities of both parties. By requesting us to confirm your booking, we presume that you have had the opportunity to peruse and have indeed read these booking conditions, and that you agree to abide by them.

These terms and conditions pertain exclusively to the travel arrangements you secure with us under the name 'Go The Himalaya.' They encompass the services, provisions, or performances (as applicable) that we undertake as part of our contractual commitment to you. Throughout these booking conditions, terms such as "trip," "booking," "contract," or "arrangements" refer specifically to the aforementioned trip arrangements, unless explicitly stated otherwise. The term "departure" denotes the commencement date of these arrangements.

 

  1. To make a booking

To initiate a booking, kindly follow the outlined procedure on our website or alternatively, request in mail, WhatsApp and an offline application form from us. Each individual traveling must complete the relevant application form before the departure date. If you are under 18 at the time of booking, the application form requires either your signature or written permission from your parent or guardian, which can be provided via mail or during the booking process. Please send the completed booking form to us. Note: Your booking will be confirmed upon the deposit of the specified amount as mentioned in point 2.

In cases where we have already confirmed the availability of your selected arrangements, your booking will be considered firm, establishing a contractual agreement between us. Upon acceptance of all terms and conditions, we will confirm your request and notify you via email upon receiving your completed application form. Subsequently, we will send you a receipt and our invoice. Upon receiving our email, carefully review your invoice. Should you identify any discrepancies or incomplete information, please contact us immediately.

2.  Minimum Advance payment

A minimum deposit of 15% USD of the total package is required to confirm the booking. The remaining payments should be made before the departure.

3. The price quoted

The price provided for each trip is outlined in the respective package's "Included" and "Not Included" sections, offering a comprehensive understanding of what is covered and not covered at the quoted cost. Upon booking any packages, we will send you a formal email along with the invoice for your reference. However, certain responsibilities lie with you, including vaccination fees, travel insurance, costs related to travel to and from the start/return point of your trip, including international flights, passport and visa expenses, personal equipment, personal expenses during the trip, and any other costs specifically excluded in the trip description and/or invoice.

Please note that we reserve the right to make changes to and correct errors in quoted prices at any time before confirming your trip. If we become aware of any errors, we will inform you and provide the applicable price at the time of booking.

Once the price of your chosen trip is confirmed at the time of booking, the price won’t be change at all.

4. Travel insurance:

You must obtain sufficient and appropriate coverage for your trip, especially for adventurous activities such as trekking at altitudes over 5000m (emergency evacuation). It is advisable to purchase travel insurance in your own country, and it should be certified by your embassy. Please submit us to copy of your travel insurance.

5. Health:

 Except as disclosed in your medical questionnaire, you are taken to confirm at the time of booking that you are in good health, physically capable of undertaking all aspects of the trip. If you are unable to give for this confirmation for any reason or have any medical condition or disability which may affect your trip, you must contact us before you submit your application form so that we can assist you in considering the suitability of the trip for you. We advise you to consult with your doctor before booking the trip.

6. Special requests:

 Please advise us of any special requests (food, extra porter etc.) before making your booking. Where possible, we will endeavor to meet or arrange any such request. Confirmation that a special request has been noted or passed on the inclusion of the special request on your invoice or any other documentation is not confirmation that the request will be met. Unless and until specifically confirmed, all special requests are subject to availability. For your protection, you should obtain confirmation in writing that a special request will have complied where it is possible & where it is important to you.



7. Cancellation of bookings

Cancellation of bookings should be communicated to us via email by the trip leader as promptly as possible. Your cancellation notice will be considered effective only upon receipt of the written notification by us. No cancellation charge will apply before 7 days. If you cancel trip less than 7 days than 15 % of total charge will apply. Further, conditions will send via mail if necessary.

8. Reason For cancellation

You should provide us with a clear written reason for the cancellation trip. Depending on the reason for cancellation, you may be able to reclaim these cancellation charges under the terms of your insurance policy.

9. Transfer Your Place to Someone Else Introduced By You

If you are unable to travel, you have the option to transfer your reserved place to someone else, provided that the change is communicated to us at least 5 days before the scheduled departure. This is contingent upon the feasibility of adjusting certain bookings made under your name. However, it is important to note that any outstanding balance payment must also be settled to facilitate the transfer

10. Changes to your confirmed trip

 Modifications to your confirmed trip may be considered based on practicalities and availabilities, although there could be associated costs with these changes. We do not impose an amendment fee and will solely pass on any additional expenses incurred in offering additional or alternative services. If there is a change in holiday dates, it will typically be treated as a cancellation of the original booking followed by a rebooking. Changes might lead to the recalculation of the holiday price if, for instance, the basis on which the price of the original holiday was determined has changed.

11. The Itinerary Is a Guide

The itinerary serves as a guide that we will endeavor to follow, but there may be instances where it becomes necessary to make short-notice alterations due to circumstances or events beyond our control. These could include adverse weather conditions, road conditions, or situations amounting to force majeure. Additionally, changes may be necessitated by operating conditions imposed by owners and operators of accommodation, facilities, and transport. We strive to keep your itinerary consistent in content to the best of our ability, unless circumstances beyond our control make it impossible. If weather conditions result in additional costs such as accommodation, transportation, and meals, we will collaboratively determine how to handle these expenses.

12. Force Majeure

 In these booking conditions, force majeure means any event which we could not even with all due care, foresee or avoid. Such events may include whether actual or threatened or heavy snowing or landslide or avalanches etc  , war, riot, civil strife, industrial dispute, natural disaster, significant risks to human health such as the outbreak of serious disease at the travel destination, adverse weather conditions, fire and all similar events outside our control. Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by or you otherwise suffer any damage, loss, or expense of any nature as a result of "force majeure".

13. Passport and visa requirements:

You must ensure you are in possession of all necessary travel and health documents up to date before departure. All costs incurred in obtaining such documentation must be paid by you. We regret we cannot accept any liability if you are refused entry onto any transport or into any country due to failure on your part to carry all required documentation. If failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly.

14. Complaints.

 In the unlikely event that you have any reason to complain or experience any problems with your trip whilst away, you must immediately inform your trip guide of the service(s) in question. Any verbal notification must be put in writing and given to our trip guide as soon as possible. If any complaint or problem is not resolved to your satisfaction by the trip guide than you must contact us in the office using the contact details we have provided you with during your trip or by mail, giving us full details and a contact number. Until we know about a complaint or problem, we cannot begin to resolve it. Most problems can be dealt with quickly. If you remain dissatisfied, however, you must write to us within the end of your trip giving your booking reference and full details of your complaint.

15. Our website;

The information presented on our website and in other advertising materials is believed to be accurate to the best of our knowledge at the time of publication. However, errors may occasionally occur, and information may subsequently change. Therefore, it is essential for you to verify all details of your chosen trip, including the price, with us at the time of booking.

16. Tipping


Tips are expected from our team members working in the mountains. Tipping is not included in the trip package; however, we recommend a tipping range of 5-15% for our team. Given the challenging nature of our seasonal work, even a small tip can bring joy to our team members. Your generosity is greatly appreciated.
